Orbit Nine LLC ("Orbit Nine," "we," "us," or "our") operates the Orbit Nine Platform, an AI-powered retention operating system for fitness businesses. This Privacy Policy explains how we collect, use, store, and protect information when you use our platform at orbitnine.ai.
By accessing or using the Orbit Nine Platform, you agree to the practices described in this policy.
Account information. When a gym signs up for Orbit Nine, we collect the gym's name, contact name, email address, and information about your gym management software (CRM). This information is provided directly by you during onboarding.
Authentication data. If you sign in using Google OAuth, we receive your name, email address, and profile picture from Google. We use this only to create and authenticate your account.
Member data. Gyms may connect their CRM or upload member data (such as names, email addresses, visit history, membership status, and billing information) to the platform for the purpose of generating retention insights and AI-powered outreach. This data belongs to the gym and is processed on the gym's behalf.
Usage data. We collect logs of actions taken in the platform (such as tasks completed, messages sent, and agent activity) to improve the quality of our AI recommendations and measure intervention outcomes.
Communications. When you contact us by email or through the platform, we retain those communications to respond to your inquiries and improve our service.
We do not sell your personal information or your gym's member data to third parties.
All platform data is stored in Supabase, a cloud database provider. Data is encrypted at rest and in transit. Access to the database is role-controlled — gym owners, managers, and front desk staff each have access only to the data appropriate for their role.
We implement industry-standard security measures including JWT-based authentication, rate limiting on API endpoints, and row-level security policies in our database.

Each of these providers has their own privacy policy. We share only the data necessary for each service to function.
Gyms that use the Orbit Nine Platform are responsible for obtaining any necessary consents from their members before uploading member data to the platform. This includes consent for SMS or email outreach where required by applicable law (including TCPA in the United States).
Orbit Nine processes member data on behalf of gyms and does not use that data for any purpose other than providing the platform services.
We retain your account information for as long as your gym has an active account with Orbit Nine. Member data is retained for the duration of your subscription and deleted upon account termination, unless a longer retention period is required by law or agreed upon in writing.
You may request deletion of your data at any time by contacting us at hello@orbitnine.ai.
Depending on your jurisdiction, you may have the right to access, correct, or delete the personal information we hold about you. To exercise any of these rights, please contact us at hello@orbitnine.ai. We will respond within 30 days.
The Orbit Nine Platform is designed for use by fitness businesses and their staff. We do not knowingly collect personal information from individuals under 13 years of age. If you believe we have inadvertently collected such information, please contact us immediately.
We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page and, where appropriate, notify you by email. Your continued use of the platform after any changes constitutes your acceptance of the updated policy.
